Workspace Analytics

Workspace Admins can view analytics across the Workspace. Project Admins, Team Managers, and Viewers can view analytics for the Projects they belong to. Other users see analytics for their own activity.

Your Workspace’s analytics can be accessed by navigating to Analytics.

Analytics date pickers display dates as MM/DD/YYYY in the US deployment and DD/MM/YYYY in other deployments.

Overview

The Overview section shows the following:

For Project Admins, Team Managers, and Viewers, the metrics include only Projects they belong to. Total files uploaded and Total folders created are available only to Workspace Admins.

Metric	Description
Total tasks submitted	Total number of (annotation and review) tasks submitted across all Projects in your Workspace during the specified time period.
Total time spent	Total time spent in the Label Editor by all Workspace users during the specified time period.
Total annotation time	Total active time spent annotating in the Label Editor by all Workspace users during the specified time period.
Total files uploaded	Number of files uploaded to Encord during the specified time period.
Instance labels created	Total number of instance labels created in your Workspace during the specified time period.
Avg. time spent per task	Average time spent per task on annotation and review in the Label Editor by all users during the specified time period.
Total review time	Total active time spent reviewing in the Label Editor by all Workspace users during the specified time period.
Total folders created	Number of folders created in Index during the specified time period.

Activity

The Activity section shows the following:

For Project Admins, Team Managers, and Viewers, all activity metrics include only Projects they belong to. Workspace Admins see activity across the Workspace.

• Projects: Displays the total number of Projects in your Workspace for the selected time period. A chart breaks down the status of all Projects by count and percentage.

• Most Active Users: Highlights the top 5 users based on activity within the Label Editor during the selected time period, including the total active time for each user.

• Most Active Projects: Highlights the top 5 Projects with the most activity in your Workspace during the selected time period.

• Time Spent: Visualizes daily activity across the selected time period. You can toggle between views: Total, By Stage, and By Project.

Collaborators

For Workspace Admins, the Collaborator overview shows analytics for each Workspace member across all Projects in the selected time period. For Project Admins, Team Managers, and Viewers, it shows collaborator analytics only for Projects they belong to.

Column Name	Description
User	The user’s email address.
User role	The user’s role within the Workspace. Can be Admin, Member, Workforce Manager, or Collaborator.
Groups	A list of user groups the user is a member of.
Projects active in	The number of Projects the user was active in during the selected time period. Does not include Projects where the user had no activity in the Label Editor.
Submitted tasks	Number of tasks submitted by the user during the selected time period.
Skipped tasks	Number of tasks the user skipped during the selected time period.
Approved tasks	Number of reviews approved for tasks submitted by the user in an Annotate Stage during the selected time period.
Rejected tasks	Number of reviews rejected for tasks submitted by the user in an Annotate Stage during the selected time period.
Task rejection rate	Percentage of submitted tasks that received a rejection in review during the selected time period.
Created labels	Number of labels created by the user in an annotation stage during the selected time period.
Edited labels	Number of labels edited by the user in an Annotation stage, or during Edit Review in the selected time period.
Deleted labels	Number of labels deleted by the user in the selected time period.
Total time	Total time the user spent in the Label Editor (annotation or review) during the selected time period.
Total annotation time	Total active time the user spent annotating in the Label Editor during the selected time period.
Total review time	Total active time the user spent reviewing in the Label Editor during the selected time period.
Avg time per task	Average time the user spent on each annotation or review task in the Label Editor during the selected time period.
Last project activity	The most recent date the user was active in any Project.
Joined date	The date the user was added to the Workspace.

Projects

For Workspace Admins, the Project overview shows analytics for all Projects in your Workspace in the selected time period. For Project Admins, Team Managers, and Viewers, it shows only Projects they belong to.

Column Name	Description
Project name	The name of the Project.
Status	Current status of the Project. Can be Cancelled, Paused, Completed, Not Started, or In Progress.
Progress	Percentage of task completion in the Project.
Total files	Total number of files associated with the Project, based on the contents of the attached Datasets.
Processed files	Number of files that have been processed in the Project.
Submitted tasks	Total number of tasks submitted across all workflow stages in the Project during the selected time period.
Approved tasks	Number of tasks approved in the review stage(s) of the Project during the selected time period.
Rejected tasks	Number of tasks rejected in the review stage(s) of the Project during the selected time period.
Task rejection rate	Percentage of submitted tasks rejected during review in an Annotate Stage of the Project, for the selected time period.
Created labels	Number of labels created in the Project during annotation within the selected time period.
Edited labels	Number of labels edited in the Project during in any Annotation stage, or during Edit Review in the selected time period.
Approved labels	Number of labels approved during review in the Project within the selected time period.
Rejected labels	Number of labels rejected during review in the Project within the selected time period.
Total time	Total time spent in the Label Editor on this Project, including both annotation and review, during the selected time period.
Total annotation time	Total active time spent annotating in the Project during the selected time period.
Total review time	Total active time spent reviewing in the Project during the selected time period.
Avg. time per task	Average time spent per task (annotation and review) in the Label Editor during the selected time period.
Avg. time per label	Average annotation time per label, calculated as total annotation time divided by the number of labels created in an Annotate Stage, for the selected time period.
Issue Tags Count	Total number of issue tags added in the Project during the selected time period.
Avg. daily throughput	Average number of tasks submitted per day within the selected time period.
Project owner	The user who created the Project.
Tags	A list of Project tags associated with the Project.
Groups	A list of user groups added to the Project.
Active users	Number of users with recorded active time in the Label Editor for this Project during the selected time period.
Created at	The date that the Project was created.

Workspace Analytics Emails

You can subscribe to receive an overview of your Workspace’s analytics by email. Workspace Analytics emails are sent to the same address you use to log in to Encord. Workspace Analytics emails are sent from [e-mail] and are labeled with the subject insights.

Workspace Analytics email subscriptions are available only to Workspace Admins.

To start receiving Workspace analytics emails:

1. Click the Subscribe button in the top-right corner of the Workspace Analytics page.

2. Set the frequency to receive Workspace Analytics emails.

You can choose to receive notifications weekly or monthly.

• Weekly notifications are sent on the specified day of the week.
• Monthly notifications are sent on a designated day of the month.

If you select “End of the month,” emails are sent on the last day of each month, regardless of the date.

3. Click Subscribe.

What does the Workspace Analytics email contain:

• Metric Overview shows the following, since the last email update.

Files uploaded	Total number of files uploaded since the last email.
Tasks submitted	Total number of tasks submitted since the last email.
Labels created	Total number of labels created since the last email.
Time spent	Total time spent in the Label Editor since the last email.
Avg. time per task	Average time spent per task since the last email.
Active users	Total number of users actively using the product since the last email.
Total files uploaded	Total files uploaded this year.
Total tasks submitted	Total tasks submitted this year.
Total labels created	Total labels created this year.
Total time spent	Total time spent this year.
Avg. time per task	Average time spent per task this year.

• Most Active Projects shows a list of the 5 most active Projects in your Workspace, including the time spent on each Project and the number of labels created.

Share Workspace Analytics

You can share a link to the Workspace Analytics page with other users who have access. Each user sees only the analytics they are permitted to view.

1. Click Share in the top-right corner of the Workspace Analytics page.

2. Click Share again to copy a link to the Workspace Analytics page to your clipboard.
